Policies


Thank you for choosing Kennesaw Family Medicine for your primary care needs. We are committed to providing you with quality and affordable health care. Below are our policies.


Office Hours

Our office is open Monday through Thursday from 8:30am to 4:30pm and on Fridays from 8:30am – 12:30pm. The office closes for lunch daily from 12:30pm – 1:00pm.


Emergencies

For an obvious emergency, please call 911, or proceed directly to the nearest Emergency Room.


Please utilize our regular business hours for non-emergency calls, referrals and/or prescription refills. The doctor is available after hours in certain circumstances. You may reach our answering service after hours by dialing our regular office number, 770-222-3503. The answering service will contact the doctor.


Scheduling Appointments

Appointments can be scheduled during regular business hours by contacting our office at 770-222-3503. Our office will make every effort to schedule patient appointments as soon as possible.


Canceling an Appointment

If you cannot keep your appointment, please give us at least a 24-hour notice. Additionally, if you will be unavoidably late for your appointment please let us know. If you arrive later than 15 minutes, your appointment may be rescheduled.


Telephone Calls

It is our policy for our doctor not to interrupt patient care for non-urgent telephone calls. Non-urgent calls will be returned in a timely manner. Please only leave one message per question/concern, as multiple messages can delay our response. Please note that we are unable to provide medical diagnoses via telephone.


Prescriptions

Kennesaw Family Medicine receives multiple prescription refill requests on a daily basis. We try to refill medications as quickly as possible, however, you should allow between 48 to 72 hours for us to contact your pharmacy. When leaving a message please provide us with your name, the telephone number of your pharmacy, the name of the medication(s) you need refilled and a telephone number where you can be reached. Prescriptions for new medications cannot be prescribed over the phone, as an accurate diagnosis is usually possible only with an office visit. Controlled substances will not be called in after hours or on weekends and may require an office visit.


Test Results

Should you have any laboratory work or other diagnostic testing done through our practice, you will be notified of the results as soon as they are available (usually within 5 working days from the test date).


Insurance, Payment Policy and Billing Questions

We accept most major health insurance plans. However, it is the patient’s responsibility to understand their benefits. We recommend you contact your insurance carrier to verify coverage and benefits prior to your appointment. Patients may be held financially responsible for payment of services should the insurance company deny responsibility.


We ask that you present your insurance card to us at every visit. If you do not have insurance we do offer self-pay rates. Our office staff can provide you with more information regarding the self-pay rates. Payment is expected at the time of service. Co-payments, coinsurance, and/or deductibles are due at the time of service. We accept all methods of payment.


Galen Advisors electronically files our claims to your insurance plan on a daily basis. All claims and invoice questions should be directed to Galen Advisors and/or your insurance carrier. Galen Advisors can be reached at 678-223-7932.


Medical Records

A signed Release of Medical Records is required for all patient medical records requests. Please complete the release form and fax it to our office at 770-222-3504.


Normal continuation of care requests will be completed by our office. All third party medical records requests will be processed and completed by HIM Quality Solutions.


Referrals

Referrals can be very time consuming. If your insurance plan requires a referral for diagnostic tests or a referral for a Specialist visit, please allow one week for processing. Same day referrals will only be completed on an urgent basis. Most insurance plans do not provide postdated referrals, therefore, please allow us time to complete the referral before your appointment to another facility.
